Efficient Time Management:

  • The platform should enable efficient management of tasks, participant lists, budget, and more, while alleviating the feeling of overload.

Smooth Event Management:

  • The platform should ensure a smooth flow of the event and effective communication between all participants.

Keeping Track of Alerts and Updates:

  • The platform should provide a convenient interface for tracking alerts and updates in real time.

Creating High-Quality Marketing Materials:

  • The platform should assist organizers in creating professional and appealing websites and marketing materials.

What was done to solve it?

Color Coding for Visual Clarity:

  • The platform uses color coding to help users understand where they are and what they need to do.

  • A visual hierarchy is employed to differentiate between various types of information. creating a clear hierarchy that guides users towards the most relevant information at a glance.

Timeline Visualization:

  • A clear timeline is displayed, allowing users to visualize their progress in data entry and identify upcoming tasks.

Seamless communication between the event team and participants:

  • Networking: Facilitate connections between participants with features like searchable profiles and matchmaking algorithms.

  • Chat: Enable real-time communication through group chats, private messaging, and dedicated channels.

  • Participant Information: Provide a centralized hub with attendee profiles, contact details, and any relevant information for personalized communication.

Design Tools:

  • Ready-made templates for websites and marketing materials.

  • Library of icons for the app.

Data
A survey was administered to two research groups:

Event Planners: Individuals with professional experience in planning and executing events.

Enterprises: Companies or organizations that plan internal events for their employees or clients.

Response Highlights:

  • Both groups identified budget management, logistics coordination, and task tracking as significant challenges.

  • Effective communication with attendees and stakeholders emerged as a major concern for both event planners and enterprises.

  • Creating visually appealing and engaging events quickly was a key request across both groups. Respondents expressed interest in features such as:

    • Pre-designed event templates categorized by theme

    • Drag-and-drop functionality for layout and branding customization

    • Built-in access to a library of high-quality stock photos, icons and videos

  • A strong interest emerged for features that streamline the planning process, including:

    • Task management and project tracking tools

    • Design and marketing tools for event promotion (more relevant for event planners)

    • Event analytics and reporting (more relevant for enterprises)
